For all clients booking our cleaning services

Terms and Conditions of Service

These Terms and Conditions ("Terms") govern the use of cleaning services provided by [Your Company Name] ("the Company"). By booking and using our services, you ("the Client") agree to the following Terms:

1. Payment Terms

1.1. All invoices are to be paid within 7 days from the date of issue unless otherwise agreed in writing. By booking our services, you confirm acceptance of these payment terms.

1.2. New clients and one-off clients are required to pay a 50% deposit before any work is scheduled or undertaken. The remaining balance is due within 30 days of the invoice date.

1.3. Late payment fees will be incurred for each day an invoice remains unpaid beyond the due date, at a rate of £3.50 per day. Continued non-payment may result in the suspension or termination of services.

1.4. The Company reserves the right to take appropriate legal action for recovery of unpaid invoices, including but not limited to, engaging third-party debt recovery agencies. All costs associated with such recovery efforts will be passed on to the Client.

2. Rectification Period

2.1. If the Client is dissatisfied with any aspect of the cleaning service, the Client must notify the Company within 48 hours of the service being provided. The Company will arrange for the issue to be rectified within a reasonable period, at no additional cost.

2.2. After the 48-hour rectification period has lapsed, any further complaints will be considered outside the scope of the initial service, and any required rectifications may incur additional charges.

3. Cancellations and Rescheduling

3.1. Cancellations or rescheduling requests must be made at least 24 hours in advance. Any cancellations made with less than 24 hours’ notice will be charged in full, as it does not allow sufficient time for the Company to replace the scheduled work.

3.2. The Company reserves the right to cancel or reschedule a service due to unforeseen circumstances, such as staff shortages or extreme weather conditions. In such cases, the Company will provide as much notice as possible and offer alternative arrangements.

4. Service Access and Safety

4.1. The Client must provide safe and unimpeded access to the premises at the scheduled time of service. The Client is responsible for securing and removing any valuable or fragile items before the commencement of services.

4.2. The Client must ensure that all utilities (electricity and water) are functional and safe to use during the service. If the service cannot be completed due to lack of access or unsafe conditions, the Company reserves the right to charge the Client in full.

5. Liability and Insurance

5.1. The Company will take reasonable care to avoid damage to the Client's property during the provision of services. However, the Company is not liable for pre-existing damage, damage caused by improper maintenance of the property, or damages resulting from the use of inappropriate cleaning supplies as instructed by the Client.

5.2. The Company holds Public Liability Insurance, and any claims arising from damages caused by the Company’s staff must be reported within 24 hours of service completion.

5.3. The Company is not liable for any indirect or consequential loss, including but not limited to, loss of income, business, or reputation resulting from the provision of services.

6. Key Holding and Alarm Systems

6.1. If the Client provides keys to the Company for access to the premises, the Company will ensure secure handling of such keys. Any loss or damage to keys or lock replacements required due to loss of keys will be charged to the Client.

6.2. The Company will not be held responsible for any alarm activations or associated costs unless such activation is caused by the negligence of the Company’s staff.

7. Health and Safety

7.1. The Company adheres to all health and safety regulations. The Client is responsible for informing the Company of any site-specific health and safety hazards prior to service commencement.

7.2. The Company reserves the right to refuse service if the environment is deemed unsafe or poses a risk to health and safety.

8. Confidentiality and Data Protection

8.1. The Company respects the Client’s privacy and will ensure that any personal information or data shared with the Company is handled in accordance with UK Data Protection Laws and the General Data Protection Regulation (GDPR).

8.2. The Company agrees not to disclose any confidential information obtained in the course of providing services, except as required by law or with the Client’s written consent.

9. Force Majeure

The Company shall not be liable for any failure to perform its obligations where such failure is due to events beyond its reasonable control, including but not limited to, acts of God, fire, flood, war, or government restrictions.

10. Amendments and Termination

10.1. The Company reserves the right to amend these Terms and Conditions at any time. Clients will be notified of any substantial changes.

10.2. Either party may terminate the service agreement with a 30-day written notice. Any outstanding balances must be settled prior to termination.

11. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
